Enterprise RFQ checklist for network procurement (GCC)

A usable RFQ states what must be supplied, where it must arrive, when, and how offers will be judged. For Oman/GCC enterprise buys, include site addresses, voltage/environment constraints, warranty handling location, and a compliance matrix. Avoid vanity volume claims; ask for evidence that matters to acceptance testing.

  1. Project name, buyer entity, and contact for clarifications
  2. Line-item BOM with manufacturer part numbers where known
  3. Or: functional specs + acceptable equivalents process
  4. Quantities, spares, and optional phases
  5. Delivery sites in Oman/GCC and required dates
  6. Warranty term and RMA logistics expectation
  7. Required documents (datasheets, CoC, packing list format)
  8. Evaluation weights (compliance / lead time / price)
  9. Clarification deadline and bid validity period

FAQ

What is the minimum viable RFQ package?
BOM or functional requirement, delivery location(s), required dates, warranty expectation, and evaluation criteria (technical compliance vs price-only).
Should an RFQ demand OEM authorization?
Only if the project contract truly requires it and the buyer can verify that status independently. Otherwise ask for catalog compatibility evidence and acceptance testing instead of unverifiable partner labels.
How should GCC multi-site delivery be specified?
List each site, Incoterms/responsibility split, staging needs, and whether partial shipments are acceptable.
